Setting Up Import Conditions for Your CRM Integration
Import conditions in Pageport allow you to filter exactly which contacts from your CRM sync into your Pageport account. By setting conditions based on specific fields—like contact category or servicing advisor—you can keep your lead database clean, relevant, and easy to manage. This article walks you through how to set up these filters within your CRM integration.
Accessing Integration Settings
To begin, navigate to your Settings panel by clicking the settings icon at the bottom left of your dashboard. From there, select the Integrations tab. Once your CRM (Redtail or Wealthbox) is connected, you’ll see a small settings icon next to the integration. Click on that icon to manage your CRM sync preferences.
Enabling Contact Sync
In the settings panel, look on the left side for a section labeled Default Settings. Make sure the Sync Contacts from Redtail or Wealthbox option is enabled. This allows Pageport to pull contacts from your CRM and apply any filters or conditions you set up.
Adding Import Conditions
Once contact sync is enabled, you'll see a section to add Import Conditions. This is where you define which contacts should sync based on CRM fields. For example, you might add a condition where the contact's Category is A Client. That means only contacts with that category will sync into Pageport.
Using OR and AND Conditions
You can combine multiple conditions using either AND or OR logic, depending on how specific or broad you want the filter to be. Selecting the AND option means that all listed conditions must be true for a contact to sync—for example, a lead must be in the "A Client" category and have "Huckleberry Hound" as their servicing advisor.
If you choose the OR option instead, only one of the conditions needs to be true for the contact to sync. So you could include anyone who is either in the "A Client" category or the "AA Client" category. This gives you the flexibility to either narrow or expand your import criteria based on how you want to segment your contacts.
Note:
Adding too many import conditions can make the sync logic harder to follow and may lead to unexpected inaccuracies. For best performance and accuracy, we recommend keeping it to no more than 2–3 conditions when setting up your CRM sync.
Saving Your Conditions
Once you've set up your desired conditions, make sure to click Save Conditions at the bottom of the panel. Your settings will be saved and applied to all future syncs with your CRM.
Note:
Once CRM sync is activated, any contact that matches your import conditions will sync to Pageport only when their record is updated in your CRM. If you'd like to bring over all matching contacts immediately—including those that haven't been recently updated—you'll need to contact the Pageport team to initiate a full sync.
